Contact Information
Clients are required to inform Private Reserves in writing of any change of address or telephone numbers.
In the event that Private Reserves is not able to contact a client at the last known address, or that a client fails to respond to invoices and communications for a 12 month period, Private Reserves reserves the right to dispose of the wine in Private Reserves’ possession.
Customer Instructions
Private Reserves relies upon the accurate provision of information relating to stock and deliveries. Private Reserves relies on any instructions of any person who is or is reasonably believed to be a person authorised by the customer to give such instructions unless these instructions contradict earlier instructions received by Private Reserves.
Receipt of Goods
Private Reserves will confirm the receipt of wines by sending a rental invoice. Unless instructed, Private Reserves will not open cases to verify the contents.
Storage
• Storage is charged per 12-bottle case or half price for 6-bottle cases.
• Storage of wines not purchased from Goedhuis & Company will incur a handling charge.
• Storage is charged in advance for the period 1st April to 31st March.
• Invoices for stock received during this year will be charged pro-rata over the remaining months in this period.
• Notice will be given at the start of the financial year, should there be a change to the charges.
Deliveries & Collection
Delivery and collection charges depend on your location.
Delivery of all goods will be made to the address specified in the buyer’s order.
Deliveries and collections can be made Monday to Friday between 8am and 5pm, London 8am - 2pm. Instructions received before 12.00 midday will, for deliveries within the M25, be delivered the following working day, and three working days after the date of instruction elsewhere in the UK (with the exception of the Highlands and Islands).
For export deliveries Private Reserves requires a minimum of 7 days notice.
Drivers can only deliver to the entrance of the premises and ensure the delivery is confirmed in their presence. If it is agreed that goods are to be carried into the premises, then this is at risk of the consignee and the Customer shall indemnify against any loss damage and or injury that may occur. If you require assistance with your delivery please let us know and we will provide a second driver at a cost.
It is the responsibility of the consignee to check the delivery and sign the delivery documentation which becomes the Proof of Delivery (P.O.D.). If the consignee signs the POD without checking the delivery or if the consignee insists on signing the POD but with the caveat "unchecked" (or similar wording to the same effect), that will be at their own risk and Cert Octavian will not be liable for any shortages or damages. In any event, any discrepancies should be reported within 48 hours of receipt.
Under Bond Transfers
Under Bond transfers within Cert Octavian will incur a handling charge
Payment Terms
Payment is due 30 days after the invoice date, unless otherwise stated or agreed in writing between Private Reserves and the buyer. You can pay on this site, by phoning our office, by fax or by post.
Private Reserves accepts most major debit and credit cards (including Visa and Mastercard but not American Express). Please state your Private Reserves account number as the reference for all transactions.
Non-payment
In the event of non-payment:
• Private Reserves reserves the right to refuse to release stock.
• Interest of 10% and compensation for debt recovery costs will be charged on overdue accounts.
• Private Reserves reserves the right to dispose of wine held by Private Reserves to cover any outstanding amounts.
Claims & Insurance
All wines stored Under Bond by Private Reserves are covered by Cert Octavian’s All Risks Policy against which claims can be made.
If a case of wine is damaged or lost, Private Reserves will let you know immediately. Private Reserves will endeavour to replace it or, where this is not possible, you will receive full market value for the wine.
The All Risks Policy does not cover mixed cases. Supplementary insurance cover has been taken for mixed cases for which customers will be charged
Private Reserves is not able to insure cases where the value of the contents cannot accurately be established.

When you place an order with Private Reserves or Goedhuis & Co, your contact details are automatically included on Private Reserves’ general customer mailing list unless you notify us in writing to the contrary.
If you wish your details to be removed from Private Reserves’ mailing list, please notify us to this effect in writing. Private Reserves will action any such request immediately.
Your personal details are kept strictly confidential and are not shared by Private Reserves or Goedhuis & Co with any third party.
General
Private Reserves is not liable for any failure to meet our obligations occasioned by circumstances beyond its control.
These terms and conditions do not affect your statutory rights.
Private Reserves is incorporated in England and Wales. These terms and conditions and any contract made shall be construed and operated in accordance with English law. Any dispute or claim arising from using this website must be made and settled under English law.
