How do I activate and login to my account?

To login to your account please follow the LOGIN button above and enter your email and password in the boxes on the right hand side of the page.

If you are new to our website then you will need to activate your account before you can login. To do this:

1. Click the LOGIN button at the top of the page.

2. Press the SEND ACTIVATION button on the login page.

3. Entering your email address in the pop-up box.

4. Check your email for the activation link.

5. Follow the link in the email to activate and set up a password.

What are our office hours?

We are open Monday to Friday from 9.00 - 17.00. Our telephone number is +44 (0)1604 743 916. Messages can be left on our answerphone outside these times.

How do we protect your personal details?

Your personal details are kept strictly confidential and are not shared by Private Reserves or Goedhuis Waddesdon with any third party.

Is storage important when I come to sell my wine?

Auction houses and wine merchants will ask where and how the wine has been stored before agreeing to handle the sale. Storing at Octavian ensures that you will get the optimum price for your wine.

Where should I tell my wine merchant to send my wine?

Please do not send your wine to the office at Long Barn. Please instruct all deliveries to be made to the following address:

All deliveries are required to be booked in. Please ask your supplier to email us a copy of the invoice to info@privatereservesltd.com to request an RTFR number. Once they have received our RTFR reference they will need book the delivery in with Octavian directly in advance of arrival. Please ask your supplier to email corsham.bookings@octavian.co.uk to do this. They must quote the RTFR number we have given them to gain a booking with Octavian.

How much does it cost to store my wine?

Rent (Includes Insurance)

Our storage charge is dependent on the physical amount of cases you hold with us. Please note, the case size is not a factor when calculating your case amount.

The table below details the different rates applicable according to the amount of cases in your reserves. Your category will be determined by the actual number of cases we are holding for you on 1st April every year.

In addition, there is an initial one-off charge on all cases arriving into Private Reserves that are not bought from Goedhuis Waddesdon.

Can I pay by Direct Debit?

We operate a Direct Debit Scheme through GoCardless who offer quick and easy set up. Once the Direct Debit is set up, we will process payments around 30 days from invoice date. You will receive an email from GoCardless informing you of the amount to be taken, a description of what the amount relates to, along with the date that the funds will be taken on. You then have three working days from the email until the funds are taken so there is an opportunity to move funds to cover or contact the Private Reserves team should there be any problems. You are also protected under the Direct Debit Guarantee.

My storage rate is not £13.45+VAT. Why?

Charges are calculated pro-rata over the number of months remaining in our financial year, which runs from 1st April to 31st March.

Additionally, for 6-bottle cases the rate is halved.

My wine has been delivered to Octavian but why does it not show on my reserves?

When wine arrives during the busiest times of the year, there can be up to a 3-week lead time for wine to be listed on your reserves.

Why doesn’t my wine have a valuation?

Valuations are based on merchant listing and are updated daily. Despite our extensive database of prices, exceptionally old or rare wines may not have a valuation. In such cases, we prefer not to provide a valuation rather than base it on limited data. Wines without a secondary market, such as those still in barrel or held by the producer, often don’t yet appear on merchant lists and therefore will not show a valuation.

Why doesn’t my wine have a tasting note?

We include tasting notes from a number of respected wine journalists. Unfortunately, there will be wines that none of these experts, nor the team at Goedhuis Waddesdon, have tasted.

Is my wine insured?

Wine stored by Private Reserves is covered by Octavian’s All Risks Policy. Where a case of wine is damaged or lost, it will be replaced. Where replacement is not possible you will receive full market value for the wine. Please note your wine is not insured until we have received full payment for storage.

How much does it cost to have my wine delivered?

If your wine is held underbond Duty and VAT at the prevailing rate will become payable. These charges are at present £32.06 per dozen and 20% respectively for a wine with an ABV between 11.5%-14.5%. Wines with an ABV outside of this bracket duty is calculated on the ABV of the wine. VAT is charged on your original purchase price as well as on duty.

How long does it take for me to have my wine delivered?

After the duty and VAT has been settled, we require 1 days’ notice for deliveries to London and 3 days’ notice for outside London. This is required before midday. We can only deliver Monday to Friday during office hours. For delivery to the Highlands and Islands we require up to ten days’ notice.

What happens upon instruction of delivery?

On receipt of written instructions, we will invoice you for the delivery of your wine.

Where wine is held in bond duty and VAT are payable in advance. VAT is currently calculated at 20% of your purchase price and duty at £2.68 per bottle of wine, £3.43 per bottle of Champagne and £3.58 per bottle of port.

Once the invoice has been settled, we will be in touch to arrange a convenient date for your wine delivery.
